Orders are normally confirmed by E-Mail or Fax. In all cases some form of written confirmation of your requirements should be provided to prevent any confusion. This confirmation should include:-
Details of equipment and/or quote number
Delivery & collection address
Confirmation of method of payment.
Based on this we will advise whether we can meet your requirements and confirm costs to you.
Once availability is confirmed we will send you a hire agreement to complete, sign and return. This must be returned prior to despatch of the goods.
20) How do I pay for my order ?
A number of different methods are available-
Account holders - If you have an existing Credit account then confirmation in writing and/or a purchase order number is sufficient along with details of requirements, delivery address etc.
Open an account - If you wish to open an account then please ask our sales staff for an account application form. Once completed please return to us and we will pass to our accounts department for approval. Depending on the circumstances your account may be approved may be approved but some form of initial "up front" payment may be required or it may be rejected.
Payment by Credit card - This is often the quickest and easiest method and is ideal for short term rental. Please note we do not accept American Express
Payment by bank Transfer - Again another acceptable method but goods cannot be shipped until funds are cleared into our bank account.
Payment by cheque - as above goods will not be shipped until cheque has cleared our account.
21) When is payment taken ?
For account holders you are invoiced on 30 day credit terms.
Payments by credit card are taken on day of despatch
Payments by BACS and cheque must be made early enough to allow funds to clear. In the case of cheques a minimum 7 working days is required
22) I need a specific timed delivery ?
We can only provide deliveries based on the couriers standard terms. We cannot arrange a specific time for delivery or collection of goods.
Under these circumstances we recommend you choose an alternative delivery address where goods can be delivered, and collected, over a range of times.
23) I need delivery/collection to/from my exhibition stand
This cannot be done. Couriers will not deliver into an exhibition hall and in many cases are not allowed to do so for security reasons. There are specific companies who will be on site to provide this service (At a cost!) and if this is required you should contact them. Deliveries can however be made to Goods in areas and most exhibition halls will have such as area.
It is however you responsibility to locate this area and arrange transportation from Goods In to your stand.
It is also your responsibility to ensure that goods are securely packed and placed in an area from which our couriers can collect. Bear in mind that not only are you responsible for the return of our equipment but if goods cannot be collected on the agreed day then rental charge will continue.
In many cases it is better for you to rent items for a few days longer to allow delivery/collection from/to your office, hotel etc where a higher level of security can be provided.
24) I would like delivery / collection to/from my hotel
This can easily be arranged and is ideal for visitors from overseas. Upon departure it is useful if you can provide us with a contact name who will assume responsibility for the safe keeping of goods until collection.
Please bear in mind until goods have been collected you are responsible for them and if goods cannot be collected then rental costs will continue to accrue.
25) My delivery and collection address is different ?
This is not a problem; just let us know what the details are.
26) I need goods transported between venues ?
If you cannot arrange transport yourself then we can arrange transport if you have a number of venues around the country. This will be at additional cost and you will be responsible for the correct packaging and labelling of the equipment.
An overall rental period is normally more cost effective than a number of short term rentals in these circumstances
27) What if you cannot supply the products I require ?
If at point of order we cannot supply the items required we will try and substitute these with an alternative product of equal or higher specification. This will be at no additional cost to you.
As an example if you order a 15" Mac Book Pro and we have none in stock you may well get a 17" Mac Book Pro. In these circumstances we would contact you to ensure the replacement product is suitable.
In the majority of cases once an order is placed and availability is confirmed there should be no problems. However circumstances can occur where even at this stage Rent IT reserves the right to supply a replacement product.
28) What happens if my requirements change ?
If you have placed an order and they need to change delivery dates, addresses, equipment type, quantities, rental periods etc please contact us as soon as possible. We will do as much as possible to meet you new circumstances but cannot guarantee to meet all requirements if these have changed considerably.
Obviously the sooner you tell us about a change the more likely we can meet your new requirements.
29) I need to cancel my order ?
Provided your order has not shipped and physically left the building this is OK and no costs will be charged.
If however your order has already been shipped then a minimum 3 day rental will be charged plus all carriage costs. Provided of course we can get the equipment back within 3 days!
30) When will my goods arrive ?
This will depend on what delivery options you have chosen. For Pre 12.00, 10.30, 9.00am etc if these do not arrive on time please contact us as soon as possible in order that we can investigate the situation.
Do not call at 11.30 chasing a Pre 12.00 order and equally if your Pre 12.00 order does not arrive then calling at 5.00pm to advise us will not allow much time to investigate and resolve the problem.
31) I've ordered a big item !
We have a number of items, large plotters and scanners, which will come in large wooden crates. It is your responsibility to ensure that you have adequate handling facilities for the safe unloading of equipment and handling within your premises.
Courier drivers will not, and are not allowed to for insurance purposes, man handle large items into your premises. If you do not have mechanical handling facilities available then have adequate people available for this task.
Furthermore you are responsible for the safe storage of transit cases. Any damaged or lost transit cases will be charged for. (also return of the equipment without the transit case is likely to incur physical damage to the goods which will be charged to you)
Any costs associated with having to re-arrange deliveries, arrange forklifts etc are to your account.
If you are in a 4th floor flat we do not suggest you consider ordering a 42" plotter unless you have a large lift!
You are equally responsible to ensure the safe loading of goods at the end of the rental period. Failure to ensure return on the agreed date will result in rental cost continuing.
If you feel this will be a problem please speak to our sales staff prior to ordering equipment.
